How do I register?
Click on the Registration menu item and fill out all obligatory details.

What are my obligations after registering?
None.
As a new subscriber - you will be entitled to a free trial version for 1 patient record,including free cephalometric analysis and photo storage. There is no obligation to continue to use the system after the trial.
A credit card is not required for the initial registration

I have registered now what?
Once you have registered you will automatically navigate to the cephx welcome page.
You can start acquiring online cephalometric analyses from cephX by clicking on "New" on the button toolbar.

I want a cephalometric analysis from cephX - what do I do?
To get a cephalometric analysis of a patient you need to go to the "Add a new patient" screen. You do this either by clicking the left most icon labelled "New" on the button toolbar or by going to the file menu and clicking on "Upload New Patient".
Fill in all the required information in this page and then click on "Save New Patient".
You will receive a cephalometric analysis within 2 business days.

What data should I enter in the "Add a new patient" form?
Fill in the patient details: - name, age, and gender.
If you have a digital ceph ready (see details of digital ceph), use the
Browse option to locate your digital ceph (the ceph must be in jpg format) in your computer's hard drive or floppy drive or CDROM.
Once you have located the specific file of the ceph on your computer, click on
Open. You should see the directory pathway appear in the adjacent text box.
(Please note that you can upload the ceph in the same way at a later date via the
Patient-Edit option).
You can optionally add the patient's growth and crowding details.
Then decide if you want this patient to be traced by cephX or not.
Alternatively you can decide to trace the ceph yourself or leave it untraced for the time being (you can always request a trace for a ceph at a later time).
When you are done entering all the information - click on "Save New Patient".

Do I have to add estimated patient growth and crowding details?
This section is optional.
Optionally add in Curve of Spee (0-2) value and Model discrepancy value (mm) using the drop down lists if you require a fuller Steiner analysis workout.
Optionally add anticipated growth along S- N (1 mm per year in growing child) and anticipated growth at S-Gn (3 times that at S-N) if you wish to view the Holdaway VTO or Projected growth analyses.

What is Remote Tracing Service (RTS)?
RTS is the unique process whereby trained cephX technicians will trace the ceph for you - this saves you the effort of tracing the ceph yourself.
A small service fee is requested.

How do I request Remote tracing Service (RTS)?
There are a number of ways to request a remote trace:

When you add a new patient to your cephX account using the "Add new patient" form, you can decide as to weather cephX will trace this ceph or if you want to trace it yourself. If you requested a RTS you will be asked to confirm this before you upload your patient.

If you have decided to trace yourself, you can still change your mind and request a RTS at any time by clicking on the "RTS" button after selecting the patient in the patient list.

How do I know that a patient has been traced?
Once the ceph has been traced by a cephX technician, you will be informed via email that the ceph is ready for online viewing with a direct link to the patient's record.
In addition, your patient list will indicate as to which cephs have been
traced or
untraced under the
Status column.

Do I have to upload a ceph to use the photo archive?
You do not have to upload a ceph to use the archive; it may contain only photos or x-ray records.
Obviously, if no ceph has been uploaded, then there can be no cephalometric analyses or measurements.

What is and how do I request Supervision?
A supervisor is a cephX user who can monitor, supervise and create treatment plans for other cephX users.
If you want to be supervised by another cephX user you will need to ask this person for his/her cephX ID and enter it in the
Designate page under the
Supervision section.
When you want a treatment plan created for you by a designated supervisor,
Select the patient you want supervision for and click on
Request supervision.
If you chose a specific supervisor, he/she will be notified via email that he has a supervision request and the annotation
pending will be added to the patient's row in the supervision column of the Patient list.
You can also request supervision when you upload a new patient.

How do I know that the Supervision has been done?
You will receive an email notifying you that the supervision for the specified patient is complete.
Also, the annotation
completed will be added to the patient's row in the supervision column of the Patient list.

How do I upload a ceph?
You can upload a ceph when you add a new patient or at any later date via the
Photos - Edit or Batch section).
To upload when you add a new Patient:
If you have a digital ceph ready, use the
Browse button to locate your digital ceph (must be in jpg format) in your computer's hard drive.
Once you have located the specific file of your ceph in your computer, click on
Open in the file browser dialog.
When you are done entering all the required information on this page, click "
Save new patient".
The other way of uploading a ceph is via the
Photos section.
Select
Edit under the
Photos section and then click on
Add.
Use the
Browse button as mentioned before to select your file and set the picture type as
Ceph.
Then click Upload.

How do I upload a photo or other x-rays?" form?
All digital photos and digital radiographs may be uploaded to the patient archive and arranged in Sets of 9.
It will be convenient if all your digital data relating to a specific patient is in the same directory.
The upload procedure is as follows:
- Click-select Patient in Patient List
- Choose Photos in the Menu Tree.
- Choose Edit.
- Click Add on the bottom toolbar.
- Optionally enter the label for the photo.
- Select the picture type.
- Locate your file using the Browse button and click Open in the file browser dialog.
- "Click Upload
You can optionally drag and drop your pictures in different cells of the photo set and you can also create new photo sets. If you decide to use these functionalities you will have to click
Save when you are satisfied with your picture arrangement.

What is the Batch Uploader and how does the work?
The Batch Upload module is a very useful tool to assist in uploading multiple electronic images for an individual patient instead of the tedious one by one procedure.
To Access the Batch Dialog Box:
Click on the "
Photos" control on the left side of the screen
Click on the
Batch button which appears at the bottom toolbar - this will open the Batch Uploader.
Locate the jpg files in your computer that you wish to upload, click once on each file you want to highlight and when you have finished selecting all your files, you can simply drag them to the cephX server window or click the upload button. You will have the option of defining each one of your digital images e.g. unspecified / ceph / panoramic / intraoral / profile (See Defining Electronic Image).

Defining your electronic Image
When you upload a digital image either using single upload or batch upload or if you are in Photo edit mode you will have the option of defining the image type:
The options are:
- Unspecified
- Ceph
- Panoramic
- Intraoral
- Profile
The cephalometric x-ray must defined as such in order to do a tracing
The profile photo must be defined as such in order to do a tracing overlay on the photo.

Can I add a new patient to my cephX account
and not upload any digital data?
Yes. Digital data can be added to patient's archive at any later time.

How do I reload a ceph after I have previously uploaded one?
If you have already uploaded a ceph and wish to change it (e.g. due to poor scan quality), you may upload the newer ceph using the same steps as
How do I upload a ceph at a later time after I have entered a new patient The newer ceph simply overwrites the original. Please note that the ceph might have to be traced again if it has already been traced.

How can I edit my pictures?
You can use the cephX
Photo Editor which allows you to edit your photos online with advanced features such as change size/crop/flip/rotate/colour contrast control/zoom etc.
Click on the "Photos" icon on the left side of the screen to enter the Photos section.
You can access the Photo Editor either by going to the Edit section and clicking on
Edit Picture or by clicking on
view and then on edit from the top toolbar.
If you would like to make the changes permanent you must remember to click
Save when you are done editing your photo.

What format and size must the electronic files be?
All photos, x-rays and cephs should be in jpg or jpeg format.
The maximum file size allowed for upload is 1MB.
If you are scanning the ceph, please make sure you set the DPI of the scanned ceph to less then 100 - this results in sufficient tracing quality.

Which scanners can I use?" form?

Can cephX scan for me?
CephX runs service centers in various locations around the world that can satisfy all your electronic needs.
If you do not wish to bother with scanning procedures, simply mail your cephs and photos to a service center near you, and cephX will scan, upload and trace them for you.

What is the minimum scan quality?
If the quality of contrast between hard and soft tissue is good, (easily visible in weak indoor light) then there is no advantage in scanning at more than 100 dots per inch (DPI).An adequate ceph saved with jpg compression should not be larger than 350K (50-100K file size is perfectly suitable if the quality of the original X-ray is adequate).

Can I take a digital photo of a ceph or panoramic x-rays?
There will be discrepancy in the the mm readings of the ceph due to the divergence of light through the camera lens. Panoramic x-rays, bitewings and peri-apicals are acceptable as they are not distortion critical.

What hardware and software do I need?
To use cephX all you need is Internet Explorer 5.5 or later.
Connection to the internet - we recommend a fast internet connection
(DSL, Cable, T1…).

How do I view a list of my patients?
Once you have logged in, click on the
Folders item in the tree menu.
At the bottom toolbar select the folder of patients you would like to view:
All your patients or only the traced or untraced ones.

How can I sort my patients?
Your patient list can be sorted in either ascending or descending order by clicking on the column title buttons:
ID, NAME, STATUS (traced or untraced), DATE, AGE, GENDER.

How do I search for a patient?
There is a quick search toolbar to help you search for patients by name.
You can turn this bar on or off by clicking the
search button on the top toolbar.
If you want to add more parameters to your search you can click on the
advanced button on the quick search toolbar.

How do I view a cephalometric analysis of a patient?
Find your patient in the
Patient list and double click on the row. In order to view an analysis, the ceph must have been traced. (Even a partial trace will allow you to see analyses that are dependant on those partially traced points).
If all the points have been traced either by yourself OR via a the
cephx service center then all the analyses will be available for viewing and an accurate scaled graphic tracing of the patient will be seen on the right half of the screen.
Click on the drop down list labeled
Select Analysis on the bottom right of the screen and choose any analysis in the list.

How do I view a patient digital archive?
Click on the
View Picture Archive icon OR click on
Photos in the menu tree and then click on
View on the bottom toolbar.
The Picture archive opens up with the patient's digital images arranged in sets of 9.
You can click on the thumbnails to change the central picture.

How do I arrange the photos in a set?
Single click and highlight the appropriate row in the
Patient list.
Click on
Photos in the menu tree and then
Edit on the bottom toolbar.
The Picture archive Edit screen will open up in the set mode.
Simply drag the image to another cell in the set.
If that cell is occupied with another image, the two images will swap position.

What is and how does the Analysis Filter work?
After selecting a patient to view, you will have the option of assessing all the analyses currently available on the cephX system.
If you would like to pre-define which analyses are of interest to you and eliminate all the others, you would use the Filter Analysis Feature.
Click on the "Analyses" control on the left side of the screen
Click on the Filter Editor button and open the Filter list dialog box
Click on Create New Analysis Filter button and enter the Analysis Filter Manager
Select the Analyses of interest to you and provide a name for this group of Analyses
You can then save this Filter with the name you provided.
You can also default to this filter list by choosing this list in the "
Preferences" Option on the left side of the screen and then selecting "
Options".

How do I design a Custom analysis?
Click on the "Analyses" control on the left side of the screen to enter the Analyses section and click on the Custom Analysis Button to enter the Custom Analysis Wizard.
Generally, there are two types of custom analyses
- Selection of individual measurements taken from the whole range of all the analyses and combining them into your own personal list of measurements.
- Custom defined points, lines, angles and graphics for your own defined measurements in degrees, millimetres, ratios etc.
Follow the sequence in the Wizard entering the name of the whole analysis and select the relevant options that suit your requirements.

Can I create and save treatment plans?
Yes. Click on the
Tx plan icon on the tree menu.
Select the treatment plan template you prefer and click on create.
When you are done creating the treatment plan click on
save.

Can I keep a worksheet record of every appointment?
Yes. Click on the
Tx worksheet icon on the tree menu.
Enter the procedure that took place on that specific occurrence

Can I export the analysis to other formats?
Yes. Click on the
Export icon on the tree menu.
Here you will be able to view your analysis in PDF or Excel format.

What is the Info Site and how do I use it?
The info site allows you to build your own web site and helps you keep in touch with
your patients and/or their parents after their appointment ends.
This is a great new marketing tool which lets the patients access their personal information page including time and date of their next appointment and any other message you want to send them.
To get started click on the "Info Site" icon on the left side of the screen to open the Info Site section.
There are three options
- Create and send email memo or message to patient concerning treatment comments, next appointment time, fee balance outstanding and basically any other message you would like to send the patient.
- Generate unique patient code whereby he/she can gain access to his/her own treatment record, message list and electronic material (Images, ceph analysis etc…).
- Create your own personal web site - including your personal logo, practice information and any other content you might want to plug in.
The internet is an outstanding way to market your practice -
